Office & Accounting Administrator

Join our quickly growing property management company. We’ve almost doubled our properties under management in less than a year and want to double it twice more in the next 2 years!

The Office & Accounting Administrator is responsible for providing administrative and accounting support to the company and the property management team. This position is responsible for a variety of tasks related to property management, including tenant relations, rent collection, financial reporting, and general office administration including Payroll & HR.

Duties and Responsibilities:

  • Generate and effectively maintain monthly rent roll for all residential and commercial properties in the portfolio.
  • Manage property, owner & tenant files and transaction records.
  • Manage security deposits and interest for tenants..
  • Prepare and manage owner distributions and the monthly financial statement for a portfolio of property management clients.
  • Reconcile and review AR & AP with property managers on a semi-monthly basis.
  • Bank & Trust Account Reconciliations
  • Reconcile bank activity on a daily basis and address any discrepancies between the bank and General Ledger.
  • Prepare and post journal entries in Buildium & LoneWolf.
  • Prepare and file required Non-Resident tax and GST tax filings.
  • Liaise with Property Managers and clients regarding account matters relating to their portfolio.
  • Prepare financial reports, including income statements, balance sheets, and cash flow statements.
  • Actively maintain and update our 36 month rolling forecast and review actual vs target vs approved forecasts
  • Prepare monthly, quarterly and annual Financial Statements and manage corporate tax filing with the accountants at the end of the fiscal year.
  • Prepare and administer payroll obligations for our team, property managers and licensed Realtors.
  • Perform other duties as assigned.

  • Proven experience in accounting or a related field is preferred.
  • Strong analytical skills with the ability to perform account analysis effectively.
  • Proficiency in bank & trust account reconciliation processes.
  • Experience with accounts receivable and accounts payable functions is essential.
  • Knowledge of payroll processing and related regulations is highly desirable.
  • Familiarity with Builidum, LoneWolf, and Google Workspace is an asset

Education and Experience

  • 2-3 years of relevant experience in property management Accounting
  • Knowledge of accounting principles and practices at an intermediate level
  • Proficient in Google Workspace with advanced skills in Google Sheets / Excel
  • Bachelor’s Degree or Diploma in Accounting/Finance preferred
